How to see contents of offline USB external disks?

My goal is to be able to see the results from indexes in offline USB disks, that is, even if the disk is not plugged in, I still want to see if a file is on that disk.

This is what I did: I gave each of my external USB disks a unique letter using compmgmt.msc. Then I plugged in each disk to scan the contents into the Everything index. I used the settings based on this answer: Keep offline volumes in the index

Online USB disk (with letter G:, name ACER DISK):

For a while after I did this (for about a few hours), I was able to see all results, even if the USB disk was not plugged in.
(Of course, nothing happened if I double-clicked on a result for an offline disk.)

Unfortunately, this setting did not last. Now, I again see only the results for the local disks and for any plugged-in USB disk.

What am I doing wrong here? How I can I have the offline results persist for good? My version: 1.4.1.895 (x64)

Not much /Nothing! This is how I would configure this too.

There might be some other factors in play here. Starting at "the bottom" (I suspect you are way beyond that, but just to make sure ...)


Check if you limit the search results somehow
*The* most common reason for Everything not showing the expected files is a "wrong" filter or search modifier.
Go to Menu:Search and make sure the "Everything" entry is checked and nothing else. That will show all files that Everything has in it's database.

Exclusions?
You can exclude files/folders/volumes from the Everything database. Not an issue in your case .. just mentioning it.
Go to Menu:Tools > Options > Indexes > Exclude and chack if anything is excluded there (a checked "Enable exclude list" checkbox without specified exclusions does not exclude anything).


Check if Everything is able to write it's database to disk.
Everything keeps it's database in RAM, but will write it to disk when you close the program. If Everything can't write the database to disk, the next time it starts, it starts with an empty database and can only add the online disks.
Go to Menu:Tools > Options > General and make sure that "Store settings and data in %APPDATA%\Everything" is checked.
If it wasn't: Enable it, and restart Everything (enter

/restart

in in search bar and press ENTER)

Check if there is a Everything.db in the "%LOCALAPPDATA%\Everything" folder (paste this foldername in File Explorer and press ENTER)
Please report it's size in MB. Please also report the number of "Objects" that Everything indexed. You can find it in the statusbar.


Still no improvement?
Please post your Everything.ini here. It can be found in the "%APPDATA%\Everything" folder.

First off, thank you for responding.

I went through your checklist, and could confirm each point as being followed on my end.

Then I upgraded to the latest version, to be on the safe side.

I enabled Run as admin, again to be on the safe side.

My Everthing.db file is about 88 MB in size.

After doing a /restart, I could not see a report of the # of objects indexed in the statusbar. Same after doing a forced rebuild.

One strangeness to report: I disabled Automatically remove offline volumes under Indexes > ReFS, just in case. (None of my disks are ReFS, they are all NTFS.) Afterwards, I was able to see results from the G: disk, but not the other external disks. I don't know what to make of this.

That is the "central" Everything.ini and it points to the one in %APPDATA% : app_data=1
That one contains your actual settings (it should be aboout 20KB in size).
You can find it in c:\users\soaper\appdata\roaming\everything\everything.ini

I checked your INI-file: you are not blackmail-worthy. You're safe

I didn't see any anomalies, other than the reason why you didn't see the number of objects in the statusbar: you have Hide results when the search is empty enabled (Menu:tools > Option > Results).
To see the objects in the statusbar, press SPACE in the search bar. That way your files will be shown (or disable the Hide ... option )

What you could test: unplug all external disk except for one and see if it stays indexed.
If yes: add the next disk and repeat steps
If not: try another disk

.. until you find a (the?) disk that causes issues.

BTW: Is your Everything.db of a recent date? (meaning that Everything is able to save it's data when exited)


Other than that: I will have to think about this a little longer, as at the moment I can't see why this is happening.

My Everything.db file is current, so I am OK there.

I will run through the exercise you suggest. Until now, I was not 'adding' disks, I was plugging them in one at a time, using the one available USB port on the front face of the PC. This time I will make use of the USB ports on the back of the case to add the disks all at once, one at a time.

Will report back.

Something like this:

• Enable Everything Service and disable Run as administrator
• For this test, temporary disable Hide results when the search is empty
• Disconnect all external disks
• Exit Everything (right-click the Everything icon in the system tray and choose Exit
• Delete Everything.db ( = start clean)
• Start Everything
• Let Everything index your C:-drive and possible other internal disks
• Restart Everything (enter
  /restart
  in the search bar and press ENTER)
• Check date and size of Everything.db
• For each external disk:
  • Connect this external disk and let Everything index it.
  • Disconnect this disk
  • Restart Everything
  • Check if the files on this disk are still indexed (enter X: in the search bar, where X is the actual driveletter)
  • Check date and size of Everything.db. It should be newer /larger.
  • Repeat for the other external disks, until you find one that gets "lost". In that case: continue with the next one
• You can now re-enable the Hide results when the search is empty setting.

If you found a problem disk, check that disk for errors:

• Reconnect the drive
• Right-click the drive in File Explorer and choose Properties > Tools tab > Check button.

Recommended: check the health of this disk with CrystalDiskInfo.
Health Status should be "Good".

FWIW, for anyone reading this thread and finding it anticlimactic, Total Commander has an add-on/plugin called Zip0 - that can do a similar job to that which soaper was hoping for.
It acts like a packer (Alt F5) and creates a .zip file with filenames and dates ONLY, with file lengths of zero (0) bytes. In other words, Zip0 creates a filename list inside a .zip file.
(Select your files and folders first.)

I imagine with some clever nomenclature and tuned searches, Everything could find filename results similar to that of offline storage of filenames as per soaper's discussion.

You can use TC as long as you like (more or less) with 'UNREGISTERED' in the title bar.
It's fully functional as is, and you can do all I suggest with plug-ins.

Worth a try, imo, and ultimately you might come to see how extraordinary a program it is and send the author some money in bedazzled worship.

PS Everything and Total Commander are friends. TC has an option to use Everything as its search resource. Works seamlessly.
